Why quote templates matter
A quote is more than a price. It sets expectations for timing, service scope, wait time, payment, and what happens next.
Without a clear quote, clients may assume things you never agreed to provide.
What to include
- Client and pet name
- Pickup and destination
- Date and appointment time
- Service type
- One-way, round-trip, or wait-and-return
- Base fee and any zone or mileage fees
- Wait time policy
- Rush or after-hours fee if applicable
- Payment terms
- Cancellation policy
- Confirmation step
Example quote format
"Quote for [Pet Name]: pickup from [address] on [date] at [time], transport to [destination], [one-way/round-trip/wait-and-return]. Total: [amount]. Includes private transport, pickup, handoff, and owner updates. Additional wait time beyond [window] is billed at [rate]. To confirm, please complete the intake form and payment by [deadline]."
When to customize
Customize the quote for senior pets, anxious pets, airport timing, long-distance rides, after-hours work, or jobs involving facility coordination.
The more complex the job, the more important clear scope becomes.
How to confirm
Do not treat a quote as a booking until the client completes your confirmation step. That may be an intake form, deposit, full payment, signed agreement, or written approval.
